About personalised receipt books

A personalised receipt book is a bound book of carbonless (NCR) receipt forms printed in full colour with your logo, colours, business details and receipt layout, so every receipt you write by hand is a branded, numbered record of a payment: who paid, how much, for what, when and how. This is our full colour book: where our invoice books print in black ink, the receipt book carries your logo and design in colour. It is bound with a manilla cover, a cardboard back, a wrap-around writing shield and black spine tape, comes in A6, DL, A5 and A4, in duplicate or triplicate, numbered or plain, with free design and free UK delivery.

The same book can carry an invoice layout if you want a full colour invoice book; tell us at the design stage. For black ink receipts at a lower price and a faster turnaround, any of our personalised invoice books can be laid out as a receipt book instead.

NCR, explained

Three letters you will see on every carbonless book: NCR, No Carbon Required. Older duplicate books needed a sheet of carbon paper slipped between the pages. NCR paper builds the copying into the paper itself. Under the top sheet sits a layer of dye sealed in capsules too small to see; the sheet beneath is coated to react with that dye. Your pen provides the pressure, the capsules break where the nib travels and your writing appears on the copy in exactly the same place. Each receipt is a set, so the copy carries your printed layout as well as the handwriting, and the same sequential number when the book is numbered.

Using the book

Open the book at the next unused set. Fold the wrap-around writing shield behind the set you are using so your pen pressure does not reach the sets below. Fill in the top sheet with a ballpoint pen: the pressure, not the ink, makes the copy, so press firmly and keep the writing shield or a card behind the set. Then tear along the perforation. The original goes to the customer, the copy stays in the book until you want it, and the perforation means you can lift out any copy later without disturbing the rest.

Because every sheet is perforated, you can also lift a copy out later for your accountant or bookkeeper and leave the rest of the book intact, or keep the whole book as a bound record of the year and file it when it is full.

Duplicate or triplicate?

Both formats are the same price per book on this product; a duplicate book simply holds twice as many receipts. Choose duplicate if one record copy is enough, triplicate if two people or two files each need a copy.

Each choice below is a control in the order panel. Only the size, the format and the quantity change the price.

• Format: duplicate, 100 sets and 200 sheets, or triplicate, 50 sets and 150 sheets; same price per book.
• How many: 5, 10, 15, 20, 30, 50 or 100 books, with the price per book dropping at each step.
• Numbering: sequential from your start number, or none; included either way.
• Perforation and binding edge: top or left.
• Design route: free design from scratch, free copy of your existing receipt, or your own print ready file.

Who uses personalised receipt books

A receipt confirms a payment; an invoice requests one. Choose a receipt book when what you hand over is proof of money received, and when you want that piece of paper to carry your brand in colour.

• Shops, boutiques and salons: a receipt that matches the branding of the bag and the signage, handed over with the purchase.
• Market traders, fairs and pop up stalls: a numbered record of every sale where there is no till printer.
• Tradespeople and installers taking deposits: a branded receipt for the deposit, with the balance due written on it.
• Landlords and letting agents: rent receipts with the property, the period and the amount, numbered so tenant and landlord records agree.
• Clubs, schools, churches and charities: subscription, fee and donation receipts, including the wording a donor needs for Gift Aid records.
• Taxi, private hire and driving instructors: fare and lesson receipts in the cab.

What can be personalised

Anything that fits the sheet can be printed, in full colour. The usual content is:

• Your logo, business name and strapline
• Contact details: address, landline, mobile, email, web address
• VAT number and company number if registered
• A title such as Receipt, plus the sequential number if chosen
• The receipt itself: date and number, received from, amount in words and figures, description, how it was paid, any balance due, signature
• Bank details and terms of payment
• Small print: terms, guarantee wording, a thank you or a review request

Numbering

Every receipt can carry a unique sequential number, printed on the original and on each copy so they match. Give us the start number with your order, for example 5001, and the run continues 5002, 5003 and onwards through all the books in the order; on your next order tell us where to pick up. Numbering is included in the price and we place it wherever your layout wants it. Numbering makes reconciliation simple and shows straight away if a set has gone missing. The unnumbered option is there if you do not need it.

Which size, and receipt books compared with invoice books

Receipt books come in four sizes. A6 and DL are the classic receipt formats; A5 and A4 give room for an itemised receipt or a full colour invoice.

A6, 105mm x 148mm

A6 is 105mm wide by 148mm tall, the size of a postcard and a quarter of A4. Allowing 20mm for the binding edge there is roughly 85mm x 148mm (left bound) or 105mm x 128mm (top bound): room for your logo and contact line, a date and number, four to six short lines, a total and a signature. It is the easiest book to carry and the quickest to fill in; the trade off is that there is no room for an itemised invoice with a VAT breakdown and payment details.

DL, 99mm x 210mm

DL is 99mm wide by 210mm tall, a third of an A4 sheet folded and the size a DL envelope is made to hold. Allowing 20mm for the binding edge there is roughly 79mm x 210mm (left bound) or 99mm x 190mm (top bound): a header, a date and number, a single column of six to ten lines with a price column, a total and a signature. Top bound DL books open like a receipt pad and the slip tears off the top. The original fits a DL envelope flat and posts with the goods.

A5, 148mm x 210mm

A5 is 148mm wide by 210mm tall, exactly half of A4. Allowing 20mm for the binding edge there is roughly 128mm x 210mm (left bound) or 148mm x 190mm (top bound) to print on: a header with your logo and details, a customer and date block, six to ten item lines, a totals block and a footer with payment details. The original folds once to fit a DL envelope or slips into an A5 folder, and the book fits a jacket pocket, a tool bag or a glovebox. It is the size most mobile trades choose.

A4, 210mm x 297mm

A4 is 210mm wide by 297mm tall, the same as a standard sheet of office paper, so the original slips straight into the customer's A4 folder or lever arch file and the copy into yours. Allowing 20mm for the binding edge, there is roughly 190mm x 297mm (top bound) or 210mm x 277mm (left bound) to print on: a full item table of fifteen to twenty lines, a totals block, payment details and terms on one sheet. The trade-off is portability. An A4 book lives in the van, on a clipboard or in the office rather than in a pocket.

Whichever size you choose, keep 20mm clear along the binding edge for the glue and the tape, and keep the sheet portrait.

Either book can carry either layout. The choice is really colour against black ink, and the extra working days colour printing takes.

Getting the design right

Whether we design it or you do, nothing is printed until you have approved an emailed proof, and changes to that proof are free and unlimited.

• Design from scratch, free: give us your logo and details and we set the receipt layout for you.
• Copy an existing design, free: a photo, scan or PDF of your current book is enough for us to recreate it with any updates.
• Your own artwork: print ready PDF, 300dpi, 3mm bleed, at the finished book size, 20mm clear on the binding edge; AI, EPS, PSD, JPG, PNG and DOCX accepted; up to 50 MB on the page or by email to sales@personalisedinvoicebook.co.uk.
• Not print ready? We tell you what is wrong, correct it free where we can or ask for a new file, and proof it before printing.

The production process

1. Place the order. Options chosen, card payment taken, confirmation emailed.
2. Supply the content. A file uploaded at checkout, or a logo and details emailed with the order number.
3. Design and preflight. A new layout, a copy of your existing design, or a check of your artwork, ending in a proof.
4. Proof by email. Your chance to catch a wrong digit or a misspelt street before it is printed on every sheet.
5. Sign off. Approve or request changes. Production time is counted from approval.
6. Production. Printed in full colour on carbonless paper, numbered and collated into sets, perforated, and bound with a manilla cover, a cardboard back, a wrap-around writing shield and black spine tape.
7. Inspection and dispatch. Checked against the proof and dispatched within 8 to 9 working days of sign off.
8. Delivery. Free anywhere in the UK, with progress on the order tracking page.

Turnaround

Once you approve the proof, printing and dispatch take 8 to 9 working days. Approval is the starting point, so the order date matters less than how quickly the details or artwork reach us and the proof is signed off. Every order is delivered free anywhere in the UK, including the Highlands, Northern Ireland and Jersey, with no minimum order value, and the tracking page shows where it is. Tell us by email before ordering if you are working to a deadline.

What affects the price

The price is set by the quantity, the size and the format. The price per book falls at each quantity step from 5 up to 100. Larger sizes cost more than smaller ones. Duplicate and triplicate are the same price at each quantity; the duplicate book holds twice as many sets. Numbering, perforation, design, proofing and delivery do not change it. Prices are shown excluding VAT, and VAT is added at checkout. The live price for every combination is in the order panel and the price table on this page. For more than 100 books, a special size or a layout outside the standard range, ask for a bespoke quotation.

Personalised Receipt Books in use

• A boutique hands every customer an A6 full colour receipt with its logo and Instagram handle; the numbered copies are checked against the card machine at closing.
• A letting agent issues DL rent receipts to tenants who pay in cash, one copy to the tenant and one to the landlord's file, numbered by property.
• A kitchen installer takes a deposit at the survey and writes an A5 colour receipt showing the deposit and the balance due on completion.
• A church gives A6 triplicate receipts for donations: one to the donor, one to the treasurer and one kept with the Gift Aid claim.
